Job Description

Client/Company is seeking a highly organized, proactive, and detail-oriented Office Manager with Accounting Support responsibilities to manage day-to-day administrative and financial operations supporting both commercial and federal construction projects. This role is critical to ensuring smooth office operations, accurate financial management, and full compliance with construction and federal requirements.

Key Responsibilities
Oversee daily office operations and administrative systems for construction projects
Serve as the central point of contact for office, compliance, and documentation needs
Manage Certificates of Insurance (COIs), including requests, tracking, renewals, and distribution
Coordinate and track project permitting, licensing, and related documentation
Monitor and maintain apprenticeship hours and workforce compliance requirements
Manage and maintain compliance documentation for commercial and public works projects
Ensure readiness for internal, external, and federal audits
Manage lien releases and lien waivers for vendors and subcontractors (critical responsibility)
Coordinate with project managers, subcontractors, insurance providers, and government agencies
Support labor compliance, certified payroll documentation, and reporting requirements
Administer company Workers' Compensation and General Liability insurance
Administer company health insurance benefits for employees
Maintain organized digital and physical filing systems to meet regulatory standards
Accounting Support
Full-cycle Accounts Payable and Accounts Receivable
Payroll processing, payroll tax filings, and reporting
Certified payroll processing (Davis-Bacon & Prevailing Wage compliance)
Bank and credit card reconciliations
Project billing and invoicing
Maintain accurate financial records and support year-end reporting
Qualifications
10+ years of construction office management within commercial and federal projects
Strong knowledge of certified payroll and prevailing wage requirements
Highly organized with exceptional attention to detail
Professional, dependable, and accountable
Comfortable working in a small business environment
Preferred Experience
Federal construction projects preferred (NAVFAC, USACE)
Familiarity with WAWF and other federal compliance systems
QuickBooks experience required
